Why It Matters

Billions of dollars are left on the table every year because patients misfile their superbills. Whether it’s due to neglect, overwhelm, or a misunderstanding of the process, it all amounts to more stress for your clients, and ultimately, more difficulties for you. Communicating the function and purpose of superbills to your clients in a clear and effective manner will save everyone involved some hassle (except, perhaps, the insurance companies that profit from these mixups). 

If it saves you from having to do it twice, it’s worth taking the time to do it right, right? That’s why we prepared this handy client-focused guide to superbills you can share with your clients; it’s also why we made you the post you’re reading now, outlining the main points to cover when explaining superbills to your clients. 

Who’s Involved? 

First, make sure your clients know the key players in their superbill. You’ll want to distinguish between your office and the insurance payer’s, and explain that the insurance payer needs to receive this superbill in order to pay the client back for their claim(s). Often, a client gets a superbill and thinks everything’s already done. 

How to File

If they seem at all unsure, walk your client through the items in their superbill and provide them with steps for filing it, assuming you don’t plan to file it yourself or have us file it. This might be a good time to provide them with some printed materials, like our guide to superbills, linked above. It might also be a good time, if they appear to be dozing off, to remind them that they don’t get paid if they don’t file… 

Who Files?

This last point is super important. So important that it’s worth reiterating at the end even if you’ve already said it multiple times. To avoid leaving your client’s money in insurance payers’ pockets, you and your client need to make a concrete plan about who’s going to file their superbill. When they give you that confused, incredulous look—you know the one—save yourself the hassle and have SuperBill file it. 

Think of SuperBill as a ferry connecting you, your clients, and their insurance payers. With the ferry running, you no longer have to spend the energy to go back and forth bridging the gap. In fact, you may never have to drive over that rickety bridge again. You can stay right where you’re needed most: in the profession you trained for, providing quality healthcare.
